Job Description:
This position is an immediate opening in a family owned business that excels in customer service.
The ideal candidate should be someone with prior office assistant experience, who is able to work in a fast-paced environment, and extremely organized.
We are looking for a motivated, friendly, detail-oriented individual to manage our incoming calls and administrative needs as well as keep the office organized.
Key responsibilities include:
answering phones and scheduling appointments, greeting customers and making them feel welcome, incoming and out going paperwork, proposals, invoices and payments, prepare work orders, filing paperwork, creating job files, manage office supplies and help maintain office clean, sanitized and organized.
This position will work closely with the owners and assist in other administrative tasks as needed.
Bilingual English and Spanish.
Responsibilities:
-Greet and welcome guests as soon as they arrive.
-Direct customers to the appropriate person when available.
-Answer incoming phone calls and respond to emails in a professional way.
-Schedule all appointments.
-Calling customers.
-Prepare and type forms such as proposals, change orders, purchase orders, service agreements, and subcontracts.
-Pulling project permits.
-Ensure that the office is clean and presentable.
-Receive, sort and distribute daily mail/deliveries.
-Keep inventory of all office supplies.
-Perform other clerical duties such as filing, photocopying and faxing.
-Strong work ethic and ability to work as part of a team.
Qualifications:
-Professional attitude and appearance.
-Effectively handle time-sensitive material.
-Time Management Skills.
-Hands-on experience with office equipment (computers, printers and fax).
-Solid written and verbal communication skills.
-Customer service attitude.
-Ability to multitask.
-Proficient in computer skills.
Aptitude for problem solving and thinking out-of-the-box.

The check will bounce and the victim is left responsible.
